Children’s Personal Data
As a setting that cares for and educates children, the protection of children’s personal data is central to everything we do. Information about your child is collected directly from parents and carers and is used solely to provide safe, high-quality care and education. We never use children’s personal data for marketing purposes, and access to records is restricted to staff and practitioners directly involved in your child’s care.
Photographs and videos of children are only taken, used or shared with specific parental consent, which can be withdrawn at any time.
Independent Therapists and Specialist Practitioners
Sensory Nest works alongside a network of independent, self-employed practitioners, including independent counselling support, an independent HCPC-registered music therapist, and an independent equine-assisted therapist based in Bury St Edmunds. Wherever you choose to access these services, the relevant practitioner acts as a separate data controller for the personal data they collect directly from you, and their own privacy practices will apply. We will only share information with these practitioners where you have given consent or where it is necessary for your child’s safety and wellbeing.
Sharing Your Information
We do not sell personal data. We may share information with:
-
Our staff and practitioners directly involved in your child’s care
-
Cambridgeshire County Council and relevant safeguarding or regulatory authorities, where legally required
-
Independent therapists and practitioners, you choose to engage with, as set out above
-
Trusted service providers who support our operations, such as website hosting (Wix), payment processing and booking systems
-
Emergency services or medical professionals, where necessary to protect a child’s safety or health
How Long We Keep Your Information
We retain personal data only for as long as necessary to fulfil the purposes outlined in this policy, including any legal, accounting, safeguarding or reporting requirements. Childcare and safeguarding records are retained in accordance with statutory guidance and Cambridgeshire County Council requirements. When information is no longer required, it is securely deleted or destroyed.
Keeping Your Information Secure
We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or disclosure, including restricted access to records, secure storage of paper and digital files, and secure handling of online bookings and payments.
